Hosting a SVA Tournament

Hosting an SVA tournament is much the same as hosting your own tournament, with one big exception. We pay all the expenses and we pay you to host our tournament in your community.

     Saskatchewan Volleyball Association Event Hosting Grants
               Less than 10 teams                $20.00 per team and 1 volleyball
               10 - 20 teams                         $20.00 per team and 2 volleyballs
               21 - 30 teams                         $20.00 per team and 3 volleyballs
               31+ teams                              $20.00 per team and 4 volleyballs

How to Apply to Become a SVA Event Host

To become a Saskatchewan Volleyball Association Event Host it is important that an official from your club fill out the EVENT HOST APPLICATION FORM.

This form is available by downloading it off of the SVA website at www.saskvolleyball.ca or by contacting the SVA Office at (306) 780-9250.

Hosting Requirements

Basic requirements must be met before communities will be allowed to host. We will ask you to bid for hosting privileges. You will be asked to indicate the number of courts available to you, whether or not you can supply a canteen, seating capacity for spectators, hotel accommodations, etc. We will give the SVA Event to the host that can offer the best facilities.

SVA Responsibilies for Hosted Tournaments:

a)      The draw

b)      Tournament score sheets, draw sheets, line up cards, and Game Balls

c)      Tournament information to the coaches

d)      Medals - one set of medals will be given to each group of 8 teams.

e)      Officials - the SVA will assign officials for SVA Events

f)       Finances - the SVA will pay for all tournament expenses

Event Host Responsibilities:

a)   Book the gym facilities following consultation with the SVA

b)   Gym set up - courts, bleachers, score tables, etc.

c)   Canteen - it is recommended that the canteen offer nutritious foods to provide the athletes with       healthier energy options

d)   Medal/Awards presentation

e)   Collect and Staff Admissions table

f)    Promotion of the event to local media

g)   Send results to local media and SVA office

h)   Gym clean up

Tournament Action Plan for the Event

Site Coordinator

Each venue should have its own site coordinator to report scores, prompt officials to stay on time and care for little problems that occur during the day. A floater that moves between venues is useful for solving small problems and reporting scores. It is best to have a site coordinator that is not involved in coaching during the event.

Jury

This group should be made up of the head official of the event and a member of the organizing committee. In the event that a member of the jury is involved in the protest, the host will appoint impartial replacements.

Officials

A schedule will be provided to the host by the head official or the assigner of the event. Officials will appreciate a room where they can store their belongings and relax while they are not officiating a match.

Duties of a SVA Event Host

During Tournament:

1.         Post results and determines tie-breaking situations.

2.         Ensure that the tournament schedule is adhered to.

3.         Encourage officials to keep tournament on time.

4.         Ensure that the playing area and surrounding area is safe. This may mean the removal of             some obstructions, garbage, gym bags, spectators, etc.

5.         Have access to spare equipment and tools in case problems occur.

6.         Arrive at least one hour prior to the start of the first match.

7.         Ensure all facilities are open and properly posted, e.g., entrance to gym, washrooms, etc.

8.         Check the nets and antennae often to ensure proper playing area.

9.         Ensure that the scorer’s table has the following:

            a)         Pens/pencils

            b)         Tournament schedule

            c)         Officials schedule

            d)         Score cards/flip cards

            e)         Line up cards for coaches

            f)          Score sheets

            g)         Game ball      

            h)         Receptacle for garbage

10.       Ensure that the master draw sheet and a tournament schedule is posted in a visible location             for teams and spectators.

11.       Have ice on hand in case of minor injuries and have the Emergency Action Plan within easy             access.

12.       Ensure that the court numbers are clearly posted.

13.       Have a rulebook on hand.

14.       Deal with other problems that may arise.

Post Tournament Duties:

1.         Fax results to appropriate media on the same day.

2.         Fax or mail results to SVA immediately.

3.         Assist in clean up of tournament site.
